The Preferred Email feature, released in v3.16 of the InterAction integration, allows you to import a contact's preferred email address as it is set in CRM. This feature enables you to target with precision, boost engagement and foster stronger connections with your clients and alumni.
Once set up, it's super straightforward to use. Simply select the "Preferred Email" option in the drop-down when mapping your contact fields during the import process:
Setting Things Up:
-
Create a new Global Additional Field in InterAction
In CRM, we need a way to track a contact's preferred email address. This needs to be captured in a Global Additional Field titled "Preferred Email". This must be set up as a list field and must contain the following list options: Home, Business, Both.
💡 The field name and list option values must match exactly as they are outlined below:
Field Name Preferred Email List Options Home
Business
Both
-
Switch on "Search by all email fields" in Connection Wizard
To ensure campaign engagement and survey responses are associated with the correct contact when it syncs back to InterAction, we need to switch on a setting which matches contacts across all email fields (instead of just Primary Email, which is what we search across by default).
Via Settings > Connections in the main integration account, log into the Connection Wizard and switch on the "Search by all email fields" setting on the Configuration page.
💡 Email concep.support@litera.com if you require assistance switching this on.
Using Preferred Email:
- Click the "Import from InterAction" button
- On the "Map Fields" screen, map the Email field to "Preferred Email"
- Continue through the import wizard and then click "Import"
- When importing, we will reference the Preferred Email field in InterAction to know which email address we should import. Here's a detailed outline of the logic:
• If the Preferred Email field = Home, the Home Email field is imported from InterAction.
• If the Preferred Email field = Business, the Main Business Email field is imported from InterAction.
• If the Preferred Email field = Both, the Home Email and Main Business emails are imported from InterAction.
📝 In Concep, the email address is the unique identifier. That means that if we import multiple email addresses, there will be a contact per email address in Concep. Data will sync back to the same InterAction contact, however.
• If the Preferred Email field is empty or invalid, we will import the Primary Email field as a fallback.
- As contacts engage with your Campaigns and respond to your Surveys, we will match the activity by searching across the multiple electronic addresses to avoid creating duplicate contacts.
